People & Culture Administrator/Specialist

We are expanding our P&C team, with another great person in the broad HR-admin field! We are looking for you, that feels fully comfortable in being the trusted expert in the field of HR-administration, incl. pensions, insurances, and benefit administration. You are also confident in salary processing. As you are an administrative star and enjoy providing excellent service to our staff, you will also be responsible for office management tasks for our office in Stockholm.
To be successful in this position you should have worked in an equivalent position in HR, for at least 3-5 years and you really enjoy working broadly with everything from “high to low”. You'll have the opportunity to accompany our employees on their journey with us, from welcoming new colleagues during onboarding to ensuring their seamless integration into our systems, and onwards be a great partner to them during their continued employee journey. Based in our Stockholm office in Kista, you'll provide support to all our entities, reporting to the Director of People & Culture in Stockholm.
The company as well as the global People & Culture team is growing and our aim as a team is to be seen as a professional and strategic partner to the business. We will start several interesting projects and digitalization projects related to our competency areas.
About the position (as example of work tasks):
General HR:
- Be responsible for internal communications related to joiners and leavers, keeping the organization informed and engaged.
- Coordinate administrative tasks for onboarding of a new employee (write employee agreements and act as the first point of contact for new employees).
- Arrange and lead welcome training sessions, ensuring seamless integration of new hires into the team.
- Collaborate with managers and the Health, Safety, and Environment team to ensure a good work environment.
- Deliver/register various KPI/statistics to authorities and internally.
- Serve as one of the superusers for HR systems such as Sympa and Winningtemp, responsible for system administration and analysis of employee feedback.
Office management:
- Local contact person for office in Stockholm, for office related questions. Local vendor ownership: Responsible for dealing with and coordinating local vendors. Such as cleaning, postal services, snacks/fruits, office supplies and appliances (coffee machines etc).
- Office Supplies: Maintain an inventory of essential office supplies, ordering items as necessary and ensuring proper stock levels for smooth office operation.
- Snack and food Management: Ensure the regular ordering and availability of fruits, snacks, and refreshments for the office. Coordinate with vendors to maintain a consistent supply and semi adjust orders based on the needs and preferences of employees.
- Event Coordination: Help organize office events such as team gatherings, celebrations, or other on-site meetings and social functions.
Benefits and salary processing:
- Be part of salary processing for employees located globally in Sweden, Finland, Germany, UK, US, Denmark, and Spain, ensuring accuracy and compliance.
- Administer and manage employee benefits, including pensions, insurances, and occupational health matters.
- Support sick leave and rehabilitation processes, working with external partners like Försäkringskassan (Swe) and our health care providers.
About You:
You feel very confident and happy in the competency field that generally belongs to the HR admin role. To do well in this job, you should enjoy working in a global environment and be naturally good at improving processes, and always looking for ways to make things more efficient. You need to be good at training and helping managers and employees and this role has many social contacts. Since you have been in the area for some years, you know how to run your role with success and by that have a broad HR knowledge and skills in general HR related areas, HR related tools, labor law, payroll, insurances, pensions, different employee questions. You have a commitment and high integrity to maintaining confidentiality and sensitive information. You have supported managers and employees in rehabilitation plans and sick-leaves.
As an administrative expert, you should have a sharp eye for details and be comfortable with technology, always aiming to automate and improve tasks. You need to have high technical skills and interest and knowledge for various systems. You must have excellent communication skills (both written and spoken) in English as it is our office language as well as in Swedish. Knowledge of and/or any other Nordic languages is a plus. If you have experience from have been working in a Nordic HR team and have been taken care of HR matters for other countries than Sweden (Denmark, Finland, Norway), that will be a plus.
